Overview

What is MindMap AI?

MindMap AI is an AI mind mapping tool published by 3axislabs Inc., a Delaware corporation whose team works out of Jaffna, Sri Lanka. Early access opened in March 2024. The homepage claims more than a million users and an average rating of 4.8 across G2, Product Hunt and the App Store.

The premise is that a mind map should not be a one-shot AI output you then have to fix by hand. You start from whatever you already have: a rough thought typed into a prompt box, a PDF, an image, an audio recording, a video file, a meeting transcript, a spreadsheet, or a web page captured through the browser extension. Accepted formats include .txt, .md, .pdf, .png, .jpg, .webp, .mp3, .m4a, .wav, .mp4, .mov, .csv, .json, .xml and .html. The engine reads the input, shows its reasoning, then lays out a structured map.

From there the tool is conversational. An AI copilot sits beside the canvas: you ask it to expand a branch, condense a section into one line, recentre the map on a different node, connect related ideas across branches, or restyle the whole thing in plain language. Crucially, manual edits are never overwritten by AI actions, and undo, redo and retry cost nothing. The same content can be displayed as a mind map, a logic chart, an org chart or an indented outline, and switching views does not rebuild anything.

Manual editing is deliberately generous: unlimited projects, nodes, images and storage, keyboard navigation, tags, symbols, priority and due-date widgets, and images inside nodes. Paid usage is metered in credits, and only AI actions consume them, roughly 13 credits for a forty-node map from a prompt and about 177 from five minutes of video. A single generation is capped at 4,000 words.

It runs as a web app, native iOS and Android apps, Chrome and Edge extensions, and a dedicated GPT in the GPT Store, with 29 interface languages including right-to-left scripts. Team workspaces cover two to a hundred seats with admin roles and centralised billing. Notes, a presentation mode and an MCP server are announced but not yet shipped.

What it does

  • Generate a complete mind map from a typed prompt, a pasted note or an uploaded file in seconds
  • Read PDFs, images, audio recordings, video files, CSV, JSON, XML, HTML and Markdown as source material
  • Chat with the AI copilot to expand a branch, summarise a section, refocus the map or draw relationships
  • Switch the same content between mind map, logic chart, org chart and outline without rebuilding it
  • Edit by hand at any time, with drag and drop, arrows, widgets, dates and images, without spending credits
  • Import existing maps from XMind, MindManager, Mapify, Coggle, FreeMind, Freeplane and SimpleMind
  • Export to PDF, PNG, SVG, CSV, Markdown or a full project file, and share by public link, private link or iframe

When to use MindMap AI / When not to

A quick filter to help you decide if MindMap AI is the right fit.

When to use MindMap AI

  • Students and researchers who need to compress a textbook chapter, a paper or a literature review into a study map they can revise from
  • Consultants and analysts who turn client interviews, discovery calls and competitive research into a structured deliverable the same day
  • Product and project managers who need scope maps, decision trees and org charts built from the same underlying data
  • Teachers, lecturers and instructional designers who build course material and share one link instead of a slide deck
  • Small teams of two to a hundred people who want a shared visual workspace with admin roles and centralised billing

When not to use MindMap AI

  • Developers who need a public API: none is documented, and the MCP server is still announced as coming soon
  • Organisations with a formal vendor-review process, since no DPA, no subprocessor list and no security certification are published
  • Buyers who require a documented data-hosting jurisdiction, which the privacy policy never names
  • Teams that want to trial the paid tiers before committing, as the vendor states plainly that no trial of paid plans exists
  • Anyone working with very long source material in one pass, given the 4,000-word ceiling per generation and the per-tier file-size caps
Get started

How to use MindMap AI

A typical end-to-end flow, from setup to results.

  1. Open the canvas from the homepage or sign up at the login page; no credit card and no installation are required
  2. Choose a starting point: type a prompt, upload a file, or paste in notes you already have
  3. Watch the AI read your input and show its reasoning before it lays out the map
  4. Ask the copilot in chat to expand a branch, summarise a section or refocus the map on a different node
  5. Edit by hand in parallel: drag nodes, rename them, draw arrows between branches, add images and widgets
  6. Switch the view between mind map, logic chart, org chart and outline depending on what you are trying to see
  7. Keep an eye on the credit cost, which is displayed with every AI reply, and use retry freely since it is not charged
  8. Import an existing map from XMind, MindManager, Mapify, Coggle, FreeMind, Freeplane or SimpleMind if you are migrating
  9. Export the result as PDF, PNG, SVG, CSV, Markdown or a project file, or share it by public link, private link or iframe
  10. Install the mobile apps or the Chrome and Edge extensions if you want to capture pages or keep working away from your desk

Pros & Cons

Pros

  • The free plan is genuinely usable rather than a countdown: unlimited manual mapping, unlimited projects and 50 AI credits a month, with no card
  • The AI iterates on an existing map instead of regenerating it, and manual edits are explicitly protected from being overwritten
  • The range of accepted inputs is unusually wide, from typed prompts to video files and captured web pages
  • One dataset can be viewed as a mind map, a logic chart, an org chart or an outline without rebuilding anything
  • The vendor states plainly that user maps, documents and files are never used to train AI models
  • Credit pricing is published in detail, with a per-input cost table and the exact cost shown on every AI reply
  • Availability is broad: web, iOS, Android, Chrome and Edge extensions, a GPT Store integration and 29 interface languages

Cons

  • There is no public API and no developer documentation; the MCP server is still listed as coming soon
  • Paid tiers cannot be trialled, so testing the AI beyond 50 credits a month means paying first
  • Data governance is thinly documented: no DPA, no subprocessor list, no security certification and no named hosting jurisdiction
  • A single generation is capped at 4,000 words, and file-size limits on the entry paid tier are modest
  • Video is expensive in credits, at roughly 177 for five minutes, which drains an allowance quickly
  • The site contradicts itself on imports, with the FAQ denying what the features and pricing pages describe in detail
  • Support is email-only on paid plans and a community forum on the free plan, with no desktop app and a hundred-seat team ceiling

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how MindMap AI handles your data.

GDPR overview

The privacy policy, in force since 6 August 2026, devotes an explicit section 9.1 to GDPR compliance for European Union users and lists the rights of access, rectification, erasure, portability, objection and restriction. Section 4 enumerates the legal bases relied on: performance of a contract, legitimate interests, consent and legal obligation. Section 8 commits to notifying affected users of a security breach within 72 hours, citing the GDPR by name. Rights are exercised by writing to the general support address. Three gaps should be weighed against this: no data processing agreement is published, no subprocessor list is disclosed, and no EU representative under Article 27 is designated, although the company is a Delaware corporation with no stated EU establishment. No data protection officer is named.

Who owns the data?

The terms are unusually clear on this point. Section 9.1 states that you retain full ownership of the mind maps, text, summaries and visual outputs you create, and section 7.1 confirms that 3axislabs Inc. claims no ownership over the material you submit. The company takes only a worldwide, royalty-free, non-exclusive licence over content you deliberately publish or share, and only for the purpose that sharing serves. Section 9.3 grants every user, free accounts included, a commercial licence to reproduce and distribute their generated content in end products such as e-books, printable PDFs, study guides and training material. Attribution is not required. You remain responsible for the third-party rights attached to anything you upload.

Reuse rights

Yes. Under section 9.3 of the terms, every user, including those on the free plan, may use, reproduce, display and distribute their generated content for personal and commercial purposes without asking permission, and section 9.7 states that attribution is appreciated but never required. Four limits apply. You may not resell or redistribute generated content as-is, or in any way that competes with the service; you may not use it to train or improve a competing AI model or mind-mapping tool; you may not strip copyright or trademark notices from exported files; and you must respect the licence terms of any third-party assets, such as Pixabay images, embedded in your maps. Uploading copyrighted or paid works you do not own is also prohibited. Separately, on MindMap AI's side, the FAQ states that user maps, documents and files are never used to train AI models.

Data retention & training

Retention summary
The privacy policy, effective 6 August 2026, sets no fixed retention period. It commits to keeping personal information only as long as the stated purposes require, unless a longer period is imposed by law for tax, accounting or similar obligations. Data may be held temporarily to answer lawful requests or to support security and fraud prevention, in which case it is stored securely and isolated from further processing. Once no legitimate business need remains, the company deletes or anonymises it. Account deletion is self-service, through Profile then Delete Account, confirmed with your email address and a reason; it removes your maps, uploaded files and AI chat history. One exception applies: maps already shared through a public link stay accessible afterwards.

Hosting summary

MindMap AI publishes very little about where data physically lives. Section 10 of the privacy policy states only that personal data may be transferred to and maintained on servers outside your own country, where data protection laws may differ, and that safeguards are applied where regulations require, without naming those safeguards or any jurisdiction. No hosting country, no region and no cloud provider is disclosed anywhere on the site, and no subprocessor list is published. Section 8 commits to administrative, technical and physical safeguards and to notifying affected users of a breach within 72 hours; the FAQ adds that industry-standard encryption protects data in transit and at rest. Payments are handled by Stripe, and the company states it does not retain full card details. The legal entity is a Delaware corporation, so US law is the operative jurisdiction. Organisations with a data-residency requirement should treat this as unresolved and ask directly before committing.

Watch-outs

Things to keep in mind

Risks and trade-offs to weigh before adopting MindMap AI.

  • A map published through a public link can never be made private again, remains accessible after you delete your account, and may be indexed by search engines
  • Refunds are limited to seven days and fewer than 100 credits used; once refunded, remaining credits are forfeited and access is revoked immediately
  • Add-on credits are valid only while the subscription is active, so cancelling forfeits credits you have already paid for
  • No data processing agreement, subprocessor list, hosting jurisdiction or EU Article 27 representative is published, and a single generic address handles legal, privacy and support requests
  • Letting the AI structure your thinking can quietly erode the effort of organising ideas yourself, which is often where the actual learning happens; the map may look rigorous while hiding what the model discarded
  • Uploaded meeting recordings, client interviews and case files are sent to third-party AI model providers, so consider whether you have the right to share that material before dropping it in
  • Disputes are governed by Delaware law and go to binding arbitration unless you opt out in writing within thirty days of first use
Setup

Setup & Integrations

Technical difficulty

Very low. Nothing needs to be installed to use the web app: you create an account, open the canvas, and either type a prompt, upload a file or paste your notes. The vendor advertises a first map in ten to thirty seconds, and no credit card is asked for. Mobile apps and the Chrome or Edge extensions are optional separate installs. There is no API to wire up and no configuration to plan. The only real setup work appears with team workspaces, where an administrator assigns admin and member roles and sets up centralised billing.

FAQ

Frequently asked questions

Is MindMap AI really free?
Yes. The free plan is permanent rather than a trial. It includes unlimited projects, unlimited manual editing, all four layout types, exports to PDF, PNG and Markdown, and 50 AI credits each month. No credit card is required to open an account.
Can I try the paid plans before buying?
No. The vendor states explicitly that it does not offer a trial of paid plans, and positions the free plan as the way to evaluate the product. A seven-day refund is possible if fewer than 100 AI credits from the plan have been used.
What can I turn into a mind map?
Typed prompts, pasted notes, PDFs, images, audio recordings, video files, meeting transcripts, Markdown, CSV, JSON, XML and HTML, plus web pages captured through the Chrome or Edge extension. A single generation is capped at 4,000 words.
Does MindMap AI train its models on my content?
No. The FAQ states that MindMap AI never uses your mind maps, documents or files to train AI models. Content you submit is sent to third-party AI model providers only to perform the action you requested.
Who owns the maps I create?
You do. The terms confirm full ownership of your generated content and grant every user, free accounts included, a commercial licence to reproduce and distribute it in end products. Attribution is appreciated but not required.
How do AI credits work?
Only AI actions consume credits; manual editing, undo and retry are free. A typical forty-node map costs about 13 credits from a prompt, 26 from a ten-page PDF, 60 from five minutes of audio and 177 from five minutes of video. The exact cost appears with every AI reply.
Can I import maps from another tool?
Yes. The features page lists native imports from XMind, MindManager, Mapify, Coggle, FreeMind, Freeplane and SimpleMind, and import is included on the free plan. Note that the site's own FAQ page still says the opposite, which appears to be out of date.
Is there an API?
No public API or developer documentation is published. An MCP server that would connect the tool to assistants such as Claude, Claude Code, Codex and ChatGPT is announced on the features page as coming soon.
Are there discounts?
Verified students get 70% off monthly plans, bringing Basic to USD 2.99 and Pro to USD 4.49 per month. A referral programme grants 50 free credits per successful invite, up to 100 invites, and bonus credits are offered for reviews, social posts and webinar attendance.
What happens to my data if I delete my account?
Deleting your account removes your maps, uploaded files and AI chat history from the servers. One exception matters: maps you previously published through a public link remain accessible to anyone holding that link, even after deletion.
Conclusion

Should you pick MindMap AI?

MindMap AI answers a real complaint about AI diagramming tools: that they hand you a map and then leave you to repair it. Here the AI stays in the room. You can keep asking it to expand, condense or reorganise, and your own manual edits survive every one of those passes. Combined with an input range that stretches from a typed sentence to a five-minute video, and with four interchangeable layouts over the same data, that makes it a credible daily tool rather than a novelty.

The free plan deserves particular note. Unlimited manual mapping, unlimited projects and 50 monthly AI credits, with no card and no countdown, is more generous than most competitors offer, and it is the only way to evaluate the product since paid tiers cannot be trialled. Pricing above that is transparent and cheap by category standards, and the lifetime tiers suit anyone allergic to another subscription. The explicit commitment never to train models on user content is welcome and still uncommon.

The reservations are about governance rather than product. No data processing agreement, no subprocessor list, no security certification and no named hosting jurisdiction will stop a formal vendor review, even though the privacy policy engages seriously with GDPR rights and breach notification. There is no public API. The site also contradicts itself in places, most visibly on whether imports exist, and its user numbers differ between pages.

For students, teachers, consultants, researchers and small product teams, it is an easy recommendation, and the free plan makes trying it costless. For a regulated organisation or a team that needs to build on an API, wait for the documentation to catch up with the product.
