Overview

What is Moonhub?

Moonhub described itself as the world's first AI Recruiter. It was not a dashboard sold to recruiters but a recruiting service in which proprietary AI agents did the heavy lifting and human talent experts made the judgement calls. Three agents were named. Qualify AI picked out the best-matched candidates for a role across millions of profiles. Engage AI ran the outreach, turning cold prospects into interview-ready candidates through personalised messages sent at scale. Monitor AI read intent signals in real time and handed conversations to a person when the moment called for it. Underneath sat what the company called billions of public candidate data points combined with proprietary data, with models tuned on expert recruiting insight rather than general-purpose text.

The promised sequence was short. Deployment strategists configured and launched a search, with candidates arriving the same day. Within hours, thousands of profiles were assessed so that only what Moonhub called the top 1% reached the client. Hiring then continued through centralised payroll, compliance and talent management, so offers could be made internationally without separate infrastructure. The pitch was aimed squarely at recruitment agencies, which the site characterised as a black box, expensive and a source of weak candidates. Moonhub countered with direct access to talent, superhuman speed, a fraction of the cost, flexible scaling and dedicated support, alongside claims of an 80% interview rate on presented candidates and a 50% reduction in time-to-hire.

The company behind it is Ever Careers Incorporated, a Delaware corporation based in Menlo Park, California, founded and led by Nancy Xu. Coverage in Forbes, Fortune, TechCrunch, CNBC, the Wall Street Journal and the World Economic Forum gave it visibility well beyond its size, and five named customers vouch for it on the homepage.

That chapter closed on 2 June 2025, when Moonhub announced its team was joining Salesforce to work on Agentforce. What remains is a marketing site. The recruiter portal no longer resolves, every call-to-action returns a 404, and no price was ever published.

What it does

  • Identify the best-matched candidates for a role across millions of profiles
  • Reach passive candidates with personalised outreach messages at scale
  • Read candidate intent in real time and hand the conversation to a human recruiter
  • Have every shortlisted profile vetted by a human talent partner before it reaches you
  • Run searches across engineering, product, data, go-to-market, finance and operations roles
  • Employ hires internationally through centralised payroll and compliance
  • Track talent insights and measure the performance of the team you have built

When to use Moonhub / When not to

A quick filter to help you decide if Moonhub is the right fit.

When to use Moonhub

  • In-house talent acquisition teams at fast-growing technology companies
  • Startup founders and executives hiring without a dedicated recruiting function
  • Hiring managers filling engineering, product, data, go-to-market, finance or operations roles
  • Companies hiring across borders that want payroll and compliance handled alongside sourcing
  • Analysts and buyers researching the AI recruiting market, for whom Moonhub is now a documented case rather than a live option

When not to use Moonhub

  • Anyone who needs a working tool today: the recruiting portal and every contact route on the site are offline
  • Teams that want a self-serve product they can sign up for and run on their own
  • Sales and growth teams, since the terms of service expressly forbid using the platform for sales outreach
  • Developers hoping to embed recruiting data in their own stack, as no public API was ever documented
  • Buyers who require published pricing before speaking to a salesperson, and anyone under 18

How to use Moonhub

A typical end-to-end flow, from setup to results.

  1. Book an intake call through the site, which was the only entry point since there was no self-serve signup
  2. Agree the scope: the free level needed no paperwork, while paid Enhanced Services required a signed Order Form
  3. Grant Moonhub access to the service mailboxes it would read, send and manage messages from on your behalf
  4. Connect your applicant tracking system so that open roles and job listings could be pulled in
  5. Clear the identity verification required at each use of the service
  6. Let the deployment strategists configure and launch the search, with first candidates promised the same day
  7. Review the shortlist vetted by Moonhub's talent partners, with a score and a status shown for each candidate
  8. Give feedback on candidates so the next wave of sourcing and outreach could be steered
  9. Interview, make offers, then employ through the centralised payroll, compliance and talent management systems
  10. Note that none of this can be started today: the contact page returns a 404 and the recruiter portal is offline

Pros & Cons

Pros

  • Three clearly named and clearly explained agents rather than a vague claim of artificial intelligence
  • Every shortlisted candidate passed through human vetting before reaching the client
  • Sourcing, outreach, vetting and international employment covered in a single chain
  • A permanent free level written into the terms of service, with no Order Form required
  • Unusually complete legal identification: registered name, postal address, phone number, two email addresses, dated terms and privacy policy
  • A working privacy centre with a real opt-out for individuals whose profiles were held
  • Strong external credibility, from national press coverage to named investors and named customers

Cons

  • The service is no longer operational: the portal is offline and every call-to-action returns a 404
  • No price was ever published, so every paid engagement went through a negotiated Order Form
  • No public API and no named third-party integration
  • No published security certification such as SOC 2 or ISO 27001
  • No data processing agreement, no subprocessor list and no EU representative, despite handling sensitive HR data
  • Personal data could be disclosed to data brokers and data co-ops for targeted advertising
  • Mailbox access continued for six months after the service ended, and the licence on customer content is perpetual
Pricing

Pricing & Plans

A permanent free level is provided for in the terms of service, requires no Order Form, and carries fewer features than the paid offering. No price is published for the paid Enhanced Services: their scope, fees, payment terms and subscription length are each set individually in a signed Order Form, so no entry price and no currency can be stated. The commercial terms that are published are strict: fees are invoiced in advance and are non-refundable, payment is due within fourteen days, late payment carries a penalty of up to 3%, and the remaining months of a term stay due on termination.

Data, GDPR & hosting

A consolidated view of how Moonhub handles your data.

GDPR overview

Moonhub's privacy centre states that it works within the guidelines of CCPA, GDPR and other applicable regulations, although the acronym is misspelled GDRP on that page. The privacy policy, last updated on 1 March 2025, carries a dedicated section for the EEA, the United Kingdom and Switzerland. It names the legal bases relied on, namely contract performance, legitimate interest, legal obligation and withdrawable consent; lists rights of access and portability, erasure, rectification, restriction and objection; points to the EDPB, the ICO and the Swiss regulator for complaints; and describes transfers out of the EEA under adequacy decisions or Standard Contractual Clauses, a copy of which is available on request. Requests go to a single address, privacy@moonhub.ai. What is absent matters too: no Article 27 EU representative is designated, and no data processing agreement or subprocessor list is published.

Who owns the data?

Customers keep ownership of the content they upload, but the terms attach a very wide licence to it: worldwide, royalty-free, perpetual, irrevocable, non-exclusive, transferable and sublicensable, covering use, copying, distribution, display and performance, and extending to partner companies that help deliver the service. Users also irrevocably waive moral rights and attribution, and Moonhub may delete any content at its sole discretion. Moonhub and its licensors keep every right in the platform itself, its trademarks and any derivative work; the service is licensed, never sold. Separately, Moonhub and its affiliates may anonymise and aggregate customer data and keep using it to operate or improve any of their products, during and after the contract.

Reuse rights

Nothing in the terms grants the customer a reuse right over what the platform returns. The licence runs the other way. Access is granted for internal business use only, and reselling, commercially exploiting or redistributing any part of the candidate relationship data is expressly prohibited, as are scraping, data mining, bots and building applications on top of the service without written consent. Employers acting on what they receive must still comply with anti-spam rules, do-not-call registries and employment discrimination law, and are forbidden from using sensitive candidate attributes in any way local privacy or anti-discrimination law prohibits. Individual accounts are narrower still: private, non-commercial use by a single named person, with credentials that may not be shared.

Data retention & training

Retention summary
No retention period is published anywhere. Moonhub says it keeps personal data for as long as necessary to fulfil the purposes it was collected for, and beyond that where legal and regulatory obligations require it, citing financial reporting, equal opportunity and anti-discrimination reporting, dispute resolution, the defence of claims, audits and enforcement of its agreements, as well as fraud monitoring and prevention. Two specific cases are documented. Moonhub could read a client's connected mailboxes for six months after the service ended, or longer where local law allowed. And when an individual submits an opt-out, the profile is removed but the email address is deliberately kept on a do-not-use list so the request can be honoured. Marketing preferences are also retained. When Moonhub terminates an account, it deletes the account information it holds.

Hosting summary

Moonhub states that it is based in the United States and that personal data is processed and stored on servers located in the United States. It also says that data is processed both inside and outside the country, and that its service providers may themselves be located in, or hold servers in, other jurisdictions, none of which are named. Transfers out of the European Economic Area are made only where an adequate level of protection is guaranteed, relying on European Commission adequacy decisions, Standard Contractual Clauses, explicit consent or the performance of a contract; a copy of the clauses can be requested at privacy@moonhub.ai. There is no European hosting region, no data residency option and no way for a customer to choose where data is kept. The public site itself resolves to an Amazon address in the United States, but that reflects the Webflow marketing site rather than the product infrastructure, which is no longer reachable.

Things to keep in mind

Risks and trade-offs to weigh before adopting Moonhub.

  • The service is gone: the team left for Salesforce in June 2025, the portal no longer resolves, and the site says nothing about what became of data already entrusted to it
  • Sensitive candidate attributes were collected, including race, ethnicity, disability, veteran status, marital status and health, which is high-risk ground under employment and privacy law
  • Personal data could be disclosed to data brokers and data co-ops for targeted advertising, which several US state laws treat as a sale of personal information
  • Moonhub kept the right to read a client's connected service mailboxes for six months after the contract ended, or longer where local law allowed
  • The licence taken over customer content is perpetual, irrevocable and sublicensable, and comes with a waiver of moral rights and attribution
  • Disputes went to mandatory JAMS arbitration in Delaware, with jury trial and class actions waived and a one-year limitation on bringing any claim
  • The headline claims of an 80% interview rate, 50% faster hiring and top 1% candidates are the vendor's own with no methodology published, and handing shortlisting to a model narrows the pool in ways a hiring team cannot easily audit
Setup

Setup & Integrations

Technical difficulty

There was nothing to install. Moonhub ran as a hosted service reached through a browser, with deployment strategists configuring and launching each search on the customer's behalf and candidates promised the same day. The real effort was administrative rather than technical: granting access to the service mailboxes Moonhub would send from, connecting an applicant tracking system with credentials or API access, and clearing identity verification at each use. Those approvals usually need security and legal sign-off. The point is moot today, since both the contact page and the recruiter portal are offline.

FAQ

Frequently asked questions

Can I still use Moonhub?
No. Moonhub announced on 2 June 2025 that its team was joining Salesforce, and as of 11 August 2026 the recruiter portal at recruiter.moonhub.ai no longer resolves while every call-to-action on the site returns a 404. Only the marketing site is still online.
Who was behind Moonhub?
Ever Careers Incorporated, a Delaware corporation based at 325 Sharon Park Drive #214, Menlo Park, California 94025, founded and led by Nancy Xu.
What did Moonhub cost?
No price was ever published. The terms of service describe a permanent free level that needed no paperwork, and paid Enhanced Services whose scope and fees were set in a signed Order Form, invoiced in advance and non-refundable.
How did the AI actually work?
Three agents shared the work. Qualify AI shortlisted candidates across millions of profiles, Engage AI ran personalised outreach at scale, and Monitor AI watched intent signals and handed conversations to a person. Human talent partners then vetted every candidate before it reached the client.
Was there an API?
No. No API documentation existed anywhere on the site or in its sitemap. The only APIs mentioned were the third-party ones Moonhub used to reach a client's applicant tracking system.
Where was the data hosted?
On servers located in the United States. Data was also processed outside the country, and transfers from the European Economic Area relied on adequacy decisions, Standard Contractual Clauses or consent.
Can I have my candidate profile removed?
Yes. The privacy centre links to an opt-out form. The profile is removed and the email address submitted is deliberately kept on a do-not-use list so that the request continues to be honoured.
Was customer data used to train the models?
The site never says plainly. It describes its AI as trained on expert recruiting insight, and the terms allow anonymised, aggregated customer data to be used to operate and improve any Moonhub or affiliate product, during and after the contract.
Was a data processing agreement available?
None is published, and neither is a subprocessor list or an Article 27 EU representative. GDPR rights are covered in the privacy policy and requests go to privacy@moonhub.ai.
What was the minimum age?
Eighteen. Both the terms of service and the privacy policy state that the service is not intended for anyone under 18, and that Moonhub does not knowingly collect information from them.
Conclusion

Should you pick Moonhub?

Moonhub was a credible attempt at a genuinely hard problem. Rather than selling recruiters another dashboard, it put three named agents to work, Qualify AI on shortlisting, Engage AI on outreach and Monitor AI on intent, and kept a human talent partner between the model and the client. The data foundation was substantial, the promised turnaround was measured in hours rather than weeks, and the chain ran all the way to international payroll. Press coverage and a customer list with recognisable names gave the claims more weight than most companies of that size could muster.

The gaps were real too. No price was ever published, so every conversation started with a sales call. There was no API, no named integration and no published security certification. For a company processing race, disability, veteran status and health data on behalf of employers, the absence of a data processing agreement, a subprocessor list and an EU representative is a serious omission, and the promised Moonhub AI Policy never appeared. The privacy policy also permits disclosure to data brokers for targeted advertising, which sits awkwardly beside a candidate database.

The question is now largely academic. On 2 June 2025 Moonhub announced that its team was joining Salesforce, and as of August 2026 the recruiter portal no longer resolves while every call-to-action on the site returns a 404. Moonhub cannot be evaluated, bought or used today. What survives is a well-documented snapshot of what an AI-first recruiting service looked like in 2024 and 2025, useful for market research or for drawing up what to demand from the tools that replaced it.
