What is ProdPad?
ProdPad is a software-as-a-service platform for product management, published by CreateShift Limited, a UK company registered in England and Wales under number 8092272 with its office in Hove. It was created by Janna Bastow and Simon Cast, who also co-founded Mind the Product and who claim the invention of the Now-Next-Later roadmap. Their premise, repeated across the site, is that product decisions usually live in tools that do not talk to each other, and ProdPad exists to connect them.
Four layers are wired together. Customer feedback flows in, feeds ideas, ideas become roadmap initiatives, and initiatives trace back to objectives. Each layer is sold as a module, Roadmaps, Ideas and Feedback, and a customer composes the package they need.
Roadmaps use the Now-Next-Later format with an initiative-over-ideas hierarchy, candidate, current and completed views, customizable saved views, and unlimited publishing as a link, a PDF or an embed. Ideas offers list, chart and workflow backlog views, flexible scoring criteria, an impact-versus-effort matrix, a confidence rating, an Idea Canvas, an email dropbox, and merge, link and split operations. Feedback provides a customer portal and widgets, segmentation by company, persona or source, similarity matching, contacts and companies, and Signals, which surfaces themes automatically instead of counting votes. OKR management sits alongside, with unlimited key results and target-versus-actual outcome tracking after delivery.
The AI layer is CoPilot PM, built on OpenAI's API combined with ProdPad's own product data model and execution layer. It has structured access to the account's live roadmaps, ideas, OKRs, feedback and decision history, retrieved at each request. It drafts specifications and summaries, flags duplicates, links feedback to ideas, and generates initiatives and key results. It is included on every plan at no extra cost.
Integrations are named and numerous: Jira, Azure DevOps, GitHub, Trello, Linear, Confluence, Slack, Microsoft Teams, Salesforce, Intercom, Uservoice, Zapier and Dropbox, plus SAML single sign-on, a REST API, custom webhooks and an MCP server. Editors are billed per seat, while Reviewers are free and unlimited, so an entire organization can contribute without inflating the bill.

GDPR overview
ProdPad states plainly that it is GDPR compliant. A Data Processing Schedule is annexed to the Terms of Service and serves as its data processing agreement. The declared supervisory authority is the UK Information Commissioner's Office. The privacy policy enumerates seven data subject rights, covering information, access, rectification, erasure, restriction, portability and knowledge of automated decision-making, and confirms that no automated decision-making or profiling takes place. One limit is stated openly: billing records must be kept for six years under UK law, which overrides erasure. For customer feedback ProdPad is only a processor, so rights requests are redirected to the client controller. Transfers outside the EU rely on standard contractual clauses, and consent to the terms, privacy and cookie policies is collected at account creation. No Article 27 EU representative is named anywhere on the site.
Who owns the data?
The customer owns their data. The privacy policy states that you own the copyrights, IP and similar rights to the Company Data you enter, and the terms confirm that CreateShift claims no rights in Customer Data beyond a working license. That license lets CreateShift analyze the data to run the features, display results to users, develop, test and improve the service, and produce anonymized or anonymized and aggregated statistics and research. Staff access customer data only at the customer's request, for support. For customer feedback collected through ProdPad, CreateShift acts as processor and the client organization remains the controller.
Reuse rights
Customers may reuse their own data freely, without asking permission. Everything can be exported from the account at any time through the built-in export tools or the REST API, and the customer keeps the intellectual property rights over what they entered. On the vendor side the use is bounded: the data serves the features the customer paid for, product development and testing, and anonymized aggregated statistics. Nothing is resold or otherwise reused. AI features are the one route out of the platform, since prompts, submitted feedback and user-generated content are processed by OpenAI in the United States under standard contractual clauses, and those features can be switched off entirely in Account Settings. Billing data goes to Recurly and Stripe, and no card details ever reach ProdPad.
Data retention & training
Hosting summary
ProdPad runs on Amazon Web Services in the EU (Ireland) region, with backups in the EU (Frankfurt). Data is encrypted in transit and at rest, using AES-256 keys managed through the AWS Key Management Store. Data stores are snapshotted nightly and kept for thirty days, point-in-time logs allow recovery within about a minute, backups sit in S3, and clusters run with hot failover. Firewalls operate at host, network and application level, intrusion detection runs at network and host level, vulnerability scans run at least weekly and penetration tests annually. ProdPad has not applied for ISO 27001 but says its procedures were designed around that standard, while AWS itself holds ISO 27001, 27017, 27018 and SOC 1-3. Subprocessors are published in full: Mixpanel, Mailgun and Better Stack process in the EU, while Help Scout, Recurly, Stripe, Segment, Google Analytics, OpenAI and Zoom process in the United States under standard contractual clauses and data processing addenda. Enterprise customers can obtain a single-tenant instance hosted in a region of their choosing, or a self-hosted instance, air-gapped if required. The contractual service level is 99% uptime for paying customers.

The reservations are practical rather than fundamental.
