ReachInbox
ReachInbox is an AI-powered cold outreach platform for B2B teams. It finds verified leads, supplies pre-warmed mailboxes, writes personalised sequences, protects deliverability with unlimited AI warmup, and gathers every reply into one unified inbox.
What is ReachInbox?
ReachInbox is an AI-assisted cold email outreach platform, presented by its publisher as business software for sales and email outreach and delivered as a web application. Its homepage claims more than 500 million emails sent, more than 5 million inquiries generated and $2.5 billion of pipeline built, and organises the product around four moments: find prospects, automate campaigns, land in the inbox, convert replies.
Finding comes first. Lead Finder lets you describe a target audience in ordinary language, the site's own example being B2B SaaS founders in SF, and returns leads drawn from a database of several million contacts refreshed daily.
Sending infrastructure comes next, and this is where ReachInbox differs from a plain sequencer. You can connect existing Gmail, Outlook or any IMAP/SMTP mailboxes, across a claimed 100-plus providers, or buy domains and mailboxes inside the product: those arrive pre-warmed with SPF, DKIM and DMARC already configured, from $4 a month. Either way, unlimited AI warmup keeps sending and replying on your behalf to build sender reputation.
Campaign creation is the AI layer. The system analyses prospects and drafts tailored messages, generates alternatives through an advanced spintax generator, and runs automatic A/Z testing that promotes whichever version earns the most opens, clicks or replies. AI Prompts clean lead lists and pull details from LinkedIn profiles and websites for deeper personalisation.
A dense deliverability toolkit sits underneath: provider matching so Google sends to Google and Microsoft to Microsoft, plain-text first sends with HTML and links added only on follow-up, a spam checker that flags and replaces trigger words, dynamic domain rotation, smart time gaps, ESP blocking, instant email verification on import, and an AI rescheduler that detects out-of-office replies and moves follow-ups accordingly.
Replies land in Onebox, a single inbox across all campaigns with automatic sentiment categorisation, tags such as Interested or Meeting Booked, reminders, scheduled replies and AI-drafted responses. Real-time analytics cover opens, replies, bounces and spam complaints with instant alerts, alongside inbox placement insights. A documented REST API, webhooks and connectors for Zapier, Make, n8n, Pabbly, Activepieces, GoHighLevel and Slack link it to the rest of a sales stack. The publisher is ReachInbox AI, a subsidiary of the Delaware corporation Rapidify Labs Inc., founded by Alan D'Souza.

When to use ReachInbox / When not to
A quick filter to help you decide if ReachInbox is the right fit.
When to use ReachInbox
- High-volume B2B outbound teams: the Pro tier allows up to 1 million emails and 200,000 active leads per month
- Sellers held back by deliverability, who want AI warmup, provider matching, domain rotation, a spam checker and inbox placement tests in one place
- Teams that would rather not run their own sending infrastructure, since domains and pre-warmed mailboxes with SPF, DKIM and DMARC can be bought inside the product from $4 a month
- Agencies and outbound service providers, thanks to 20 workspaces on Growth, 50 on Pro and white labelling on Enterprise
- Founders and lean startup teams using cold email for fundraising, recruiting, partnerships or B2B sales, with a heavily discounted first-year startup offer
When not to use ReachInbox
- Anyone planning unsolicited bulk sending: clause 20.2 of the terms restricts campaigns to recipients who have shown legitimate interest or opted in
- Buyers who need formal security assurances, since no SOC 2, ISO 27001 or HIPAA claim is made, there is no trust or security page, and no hosting country is named
- Teams needing a non-English interface, a mobile app or a browser extension, as the product is web-only and English is the only declared language
- Users who expect unlimited to be literal: the fair use policy caps mailboxes at 200 on Starter, 500 on Growth and 1,000 on Pro
- Organisations uncomfortable with the contract, which supplies the service as-is, allows discretionary account deactivation, permits a transfer of ownership on 30 days' notice, and forbids publicly disparaging the product
How to use ReachInbox
A typical end-to-end flow, from setup to results.
- Create a free account at app.reachinbox.ai; no credit card is required

- Draft your sequence with the AI, then generate variants with spintax for automatic A/Z testing
- Run the spam checker to replace trigger words and check your content score before launch
- Schedule the campaign with smart time gaps, provider matching and domain rotation enabled
- Work your replies inside Onebox, using sentiment categories, tags and AI-drafted responses

Pros & Cons
Pros
- One product covers the whole outbound chain: lead sourcing, mailboxes, warmup, AI copy, sending, replies and analytics
- Unlimited mailboxes and unlimited AI warmup from the $30 a month Starter tier
- A genuinely permanent free plan with 3 mailboxes, 250 emails and 50 active leads a month, and no credit card
- Unusually deep and documented deliverability tooling rather than a single warmup toggle
- Onebox centralises replies from every campaign and sorts them by sentiment
- A public, documented REST API alongside seven no-code integrations with step-by-step guides
- Agency-friendly: 20 workspaces on Growth, 50 on Pro, white labelling on Enterprise, and a 7-day money-back guarantee on annual plans
Cons
- The legal identity is inconsistent: the terms name Rapidify Labs Inc., the fair use policy names ReachInbox Pty Ltd, and the footer copyright names Outbox Labs
- No security certification is claimed, there is no trust page, and no hosting country or region is ever named
- The privacy policy is dated March 2022 and still lists Webflow then Framer as the hosting platform, so it has plainly not kept pace with the product
- Nothing published says whether customer data trains AI models, and no opt-out is documented
- The contract is heavily one-sided: as-is service, discretionary account deactivation, possible transfer of ownership on 30 days' notice, and a clause forbidding public disparagement
- Only annual pricing renders without JavaScript, so the true monthly cost is not readable on the pricing page, and refunds lose 5% to processing fees
- English only and web only, with no mobile app or browser extension, and the LinkedIn link the site publishes returns a 404
Pricing & Plans

Done-For-You mailboxes are billed separately from $4 per month. Annual plans carry a 7-day money-back guarantee, less a 5% processing fee. Note that the published figures correspond to annual billing: monthly rates are announced as 25% higher but are not rendered on the pricing page without JavaScript.

Data, GDPR & hosting
A consolidated view of how ReachInbox handles your data.
GDPR overview
The GDPR is named, but implementation stops at the level of statements. The privacy policy says it is drafted in compliance with several laws including the GDPR; the terms name both the GDPR and the CCPA in clauses 14.1 to 14.4 and incorporate a Data Processing Addendum by reference in clause 23.3; clause 20.1 requires compliance with anti-spam law, CAN-SPAM and GDPR included. Data subject rights are listed in full: withdrawal of consent, objection, access, rectification, restriction, erasure, portability and complaint to a supervisory authority, exercised by email or post. The GDPR contact is privacy@reachinbox.ai. What is missing matters as much: no Article 27 EU representative is designated, no data protection officer is named, no hosting country or region is disclosed, and international transfers are mentioned without any named mechanism.
Who owns the data?
Clause 12.1 of the terms leaves ownership of customer data with the customer, but grants ReachInbox a non-exclusive licence to use, store and process it as needed to perform the contract and, in the same sentence, to provide and enhance the service, a wording never bounded any further. Clause 12.2 makes the customer responsible for the lawfulness of that data. Everything on the vendor's side of the line stays the vendor's: clause 11.1 reserves all intellectual property in the service. The privacy policy names ReachInbox AI, registered in Wilmington, Delaware, as data controller. Nothing published addresses whether customer data is used to train AI models.
Reuse rights
Customers keep ownership of the data they upload and may reuse it freely; the terms place no restriction on the customer's own use, only on its lawfulness under clause 12.2. What is bounded is the vendor's use. The privacy policy states the purposes, which are delivering and improving the service, legal compliance, user communication and analytics, and names the third parties involved: Stripe for payment, Google Analytics, Google Fonts, Hotjar for heat mapping and session recording, Facebook widgets, and Webflow then Framer for platform hosting. The legal bases given are consent, contractual necessity, legal obligation and legitimate interest. Two details deserve attention: Do Not Track requests are explicitly not honoured, and system logs are collected for operations and maintenance. Personal data may also be used in legal proceedings.
Data retention & training
Hosting summary
ReachInbox names no hosting country and no hosting region anywhere on its site. The privacy policy says only that data is processed primarily in the country of its headquarters, but also in other locations where third-party service providers operate. The declared headquarters is Wilmington, Delaware, in the United States, which makes US jurisdiction the reasonable working assumption, but that is an inference rather than a published fact. International transfers are acknowledged as possible and described as adhering to legal standards, yet no mechanism is named: neither standard contractual clauses nor an adequacy decision. The third parties that touch data are listed in the privacy policy, namely Stripe, Google Analytics, Google Fonts, Hotjar, Facebook widgets, and Webflow then Framer for platform hosting, although that list dates from 2022 and no longer matches the site's current stack. The domain itself is served behind Cloudflare on an anycast address, which says nothing about where data actually rests. No hosting or security certification is claimed.
Things to keep in mind
Risks and trade-offs to weigh before adopting ReachInbox.
- Cold email is regulated, and the terms push CAN-SPAM and GDPR compliance onto you: a badly built list exposes your own business to complaints and legal risk, not the vendor's
- Automating personalisation at scale makes it easy to send messages nobody has really read, and reputational damage travels faster than replies
- Sender reputation is a shared asset, so one careless blast can degrade a domain you also use for genuine business correspondence
- Clause 12.1 grants a broad licence over your data to provide and enhance the service, with no published position on AI model training and no documented opt-out
- Account deactivation is discretionary and ownership may transfer on 30 days' notice, so an engine your pipeline depends on can disappear with little recourse
- Clause 25.1 makes publicly disparaging the product a breach of contract, which is worth knowing before you write a review
- Leaning on AI-drafted replies inside Onebox can quietly erode the judgement that tells a real buying signal from a polite brush-off
Setup & Integrations
Technical difficulty
Low to moderate, depending on the route taken. Signing up is free and needs no card, and ReachInbox advertises a campaign launched in two minutes. The easy path is to buy Done-For-You mailboxes, which arrive with SPF, DKIM and DMARC already set and warmup already done. Connecting your own Gmail, Outlook or IMAP/SMTP mailboxes is harder, since you handle domains and DNS records yourself. The API needs a developer: a per-workspace key, a documented base URL and a 5 requests per second limit. No-code connectors ship with step-by-step guides, and a 30-minute call with a deliverability specialist is offered.

Should you pick ReachInbox?
ReachInbox sets out to collapse an outbound stack that usually needs three or four separate subscriptions, a lead database, a mailbox provider, a warmup service, a sequencer and a reply inbox, into a single product, and on the evidence of its own pages it largely succeeds. The deliverability toolkit is the strongest part: provider matching, plain-text first sends, a spam checker, domain rotation, smart time gaps, ESP blocking and instant verification are individually unremarkable but rare to find together, and being able to buy mailboxes that arrive already warmed removes the step where most cold email programmes stall. Entry is easy too, with a permanent free plan and a first paid tier at $30 a month.
The reservations are not about the product but about what surrounds it. Three different company names appear across the site, Rapidify Labs Inc. in the terms, ReachInbox Pty Ltd in the fair use policy and Outbox Labs in the footer, and the privacy policy still carries a March 2022 date and a hosting provider the site no longer uses. No hosting country is named, no security certification is claimed, and nothing at all is published about whether customer data trains AI models. The contract itself is unusually favourable to the vendor, down to a clause that treats a public negative review as a breach. The word unlimited, meanwhile, is bounded by a fair use policy capping mailboxes at 200, 500 or 1,000 depending on tier.
For a high-volume B2B outbound team, or an agency running campaigns for several clients, this is a serious contender and the pricing is competitive. For an organisation that has to answer a security questionnaire or point to a named data location, the published record is not yet good enough.
