What is ResponseHub?
ResponseHub is a web application published by Coin-Op Technologies Ltd, a London company, that automates two closely related chores: answering customer security questionnaires and drafting responses to RFPs. The problem it targets will be familiar. The site puts a typical questionnaire at one to three days of work, and waiting on other departments can stretch that into weeks while a deal sits unsigned.
The mechanism is straightforward. You upload your security policies and your past questionnaires, they feed a central knowledge base, and the AI answers new questionnaires from that corpus rather than from general knowledge. What sets the output apart is its traceability: every answer points to the exact policy, section and sentence it came from, and carries an AI-generated confidence score so reviewers can spend their time on the genuine gaps instead of rereading whole documents. On its MSSP page the publisher describes the underlying pipeline as advanced RAG with reranking and adversarial confidence scoring. Generation runs on AWS Bedrock, while Mistral AI handles vision and document extraction.
Excel, Word and PDF go in, and the original file comes back with the answers in their proper places. Standard frameworks are supported out of the box, including CAIQ, NIST CSF, SIG and SIG Lite, HECVAT 3.x and 4.x, alongside custom spreadsheets. When the questionnaire lives in a vendor portal rather than a file, a Chrome extension reads the questions from the page and writes the answers back, with OneTrust, Archer, Whistic and ProcessUnity named as supported portals.
Seats split into billed Editor seats and unlimited free Viewer seats, so the whole team can query the knowledge base, and individual questions can be delegated to the colleague who owns the subject. An MSSP edition adds isolated per-client workspaces, a cross-client analytics dashboard and hours normalised per hundred questions. The knowledge base maintains itself, proposing entries from each finished questionnaire, resyncing when a policy changes and deduplicating on meaning rather than keywords.
The publisher positions the product against GRC suites such as Vanta and Drata as a dedicated tool, not a compliance module. A Slack integration and an MCP server for querying the answer library from Claude, Cursor and similar tools are announced as coming soon, not delivered. GDPR overview
The GDPR posture is documented, not merely claimed. The security page states full compliance with UK and EU GDPR requirements and describes the service as CCPA/CPRA ready. A data processing agreement is published at /legal/dpa/ and must be signed before any personal data is sent; it names each subprocessor with its country and certifications. The privacy policy sets out the legal bases (contract, legitimate interests, consent, legal obligation), the data subject rights of access, rectification, erasure, restriction, portability, objection and withdrawal of consent, and the right to complain to the UK ICO. Breach notification is committed at 72 hours, and transfers rely on the UK IDTA and EU standard contractual clauses. Two gaps are stated plainly: no Data Protection Officer has been appointed, on the grounds that GDPR does not require one, and no Article 27 EU representative is named anywhere on the site.
Who owns the data?
Under section 8.2 of the terms, the customer keeps all right, title and interest in the data it uploads; Coin-Op Technologies Ltd receives only a limited licence to use it to deliver the service. The security page repeats the point: you retain full ownership of all your data. The publisher acts as controller for account data and as processor for uploaded content. Exit is unrestricted: the knowledge base exports to CSV, questionnaires come back in their original docx or xlsx, JSON and PDF are available, and deletion is immediate from the platform. One exception: feedback and suggestions you send may be used without restriction or compensation (8.3).
Reuse rights
You can reuse your own data freely and without asking: nothing in the terms limits what you do with the answers, exports or knowledge base you build, and exporting needs no support ticket. On the publisher's side, uploaded content is processed to run the service, meaning question extraction, answer drafting, support, product improvement, service communications, legal obligations and fraud prevention. Answer generation runs on AWS Bedrock, while Mistral AI handles vision and document extraction from PDFs and images. Both are bound by a zero training commitment: your data is never used to train, improve or fine-tune AI models, and neither provider retains it beyond the immediate request. Personal data is never sold, rented or traded for third-party marketing, processing is isolated per customer in a multi-tenant architecture, and no automated decision produces legal or similarly significant effects, since every answer is a draft awaiting human approval. Marketing email is opt-in, though service email cannot be switched off while the account is open.

Hosting summary
Primary infrastructure is DigitalOcean's AMS3 region in the Netherlands, and the security page states that all customer data is stored and processed exclusively within Europe, with automated backups and disaster recovery held in EU regions. AI processing follows the same rule: AWS Bedrock in EU regions with zero data retention, and Mistral AI in France for vision and document extraction. Object storage and transactional email run on AWS (S3, SES) in EU regions, application monitoring on AppSignal in the Netherlands, and payments through Stripe in the UK and EU. Cloudflare provides CDN, WAF and DDoS protection globally, with EU processing. Data is encrypted with TLS 1.2 or above in transit and AES-256 at rest, and international transfers are covered by the UK IDTA and EU standard contractual clauses. One carve-out applies to the free security policy generator, which is separate from the platform and additionally uses Make.com and Anthropic in the United States and Tally in Belgium. Note that the resolved IP address (172.67.147.201, Cloudflare) is an anycast node and says nothing about where the data actually lives.

- Unlimited usage is governed by a fair use policy: beyond ordinary patterns, the publisher says it will get in touch about moving you to another plan
- Payments are non-refundable in every circumstance, including cancellation or downgrade, and the Enterprise plan locks you into an annual commitment
- AI answers must be read before they are sent, and the privacy policy explicitly requires human review prior to submission; leaning on generated answers without checking them slowly erodes your team's own grasp of its security posture, which is the very knowledge a questionnaire is meant to test
- ResponseHub holds neither ISO 27001 nor SOC 2, and those certifications belong to its subprocessors; repeating them as your own would misrepresent your supply chain to a customer
- The public plans include one workspace each while the MSSP page advertises multi-client work, so settle the commercial scope before buying for several clients
- The publisher may use your company name and logo in its marketing material unless you object in writing, under section 15.9 of the terms
- Subprocessors can change on ten days' notice and objecting only entitles you to terminate the affected service; note too that the free policy generator relies on extra subprocessors outside the EU, namely Make.com and Anthropic in the United States and Tally in Belgium
