Overview

What is SARA?

SARA is a Swedish AI voice agent — an AI receptionist — built by Optiflow AI, an AI consultancy based in Norrköping. It answers inbound calls around the clock, books, moves and cancels appointments, takes fault reports and support cases, qualifies leads, and places outbound calls for reminders, follow-ups, win-backs and surveys. The publisher insists SARA is developed in-house rather than a rebadged foreign service, and that it is tuned to spoken Swedish and to how Swedish customers actually call, ask and interrupt. The sales argument is unusually concrete. The homepage costs out a human hire line by line — gross salary, employer contributions, occupational pension, payroll tax, insurance and holiday pay — and positions SARA against that figure. The site claims more than 10,000 calls handled and over 50 Swedish companies as customers. SARA is sold in three tracks. SARA Studio is self-service: pick an industry template, enter your business information, choose a voice, connect your number, and the agent is live, with no code written. För företag, formerly branded Done For You, is fully managed: Optiflow AI maps your call flows in a session of roughly thirty minutes, then builds, trains, integrates and runs the agent, live within one to four weeks and optimised weekly thereafter. Offentlig Sektor adapts that managed track for municipalities, regions, public housing companies and authorities, covering citizen service, fault reports, school administration, social services and NKI satisfaction surveys, and supports Swedish LOU procurement and WCAG 2.1 AA accessibility. Eighteen preconfigured roles span sales and marketing, customer service, reception and administration, market research, internal training, and finance and case handling. Fourteen industry pages each carry their own terminology, integrations and questions. Technically, SARA handles 100 concurrent calls per agent, answers in under two seconds, and escalates to a human whenever it is uncertain rather than guessing. Every call is transcribed, summarised and logged; the customer portal shows one row per call with the case, the outcome and the reason, alongside escalation rate, call length, topic mix and NPS. More than fifty integrations are advertised, and SARA connects to an existing number and operator in one to three working days.

What it does

  • Answers every inbound call in about two seconds, around the clock, with no queue and no touch-tone menu
  • Books, reschedules and cancels appointments straight into the calendar or booking system
  • Detects the caller's language and switches mid-call across 15+ languages
  • Transfers the call to the right person and escalates to a human whenever it is unsure
  • Takes fault reports and support cases and files them, structured, in the customer's system
  • Places outbound calls for reminders, follow-ups, win-backs, NKI measurements and surveys
  • Transcribes, summarises and logs every call with timestamp, case type, sentiment and next step

When to use SARA / When not to

A quick filter to help you decide if SARA is the right fit.

When to use SARA

  • Clinics, dental practices and veterinary surgeries that lose bookings to an unanswered phone and want cancelled slots refilled automatically
  • Salons, restaurants, gyms and local service businesses whose staff cannot pick up while they are serving a customer
  • Property companies and public housing landlords needing round-the-clock fault reports, with urgent leaks escalated straight to the on-call team
  • Swedish municipalities, regions and authorities needing multilingual citizen service that fits LOU procurement, WCAG 2.1 AA and NIS2
  • Agencies and SaaS resellers who want to build, manage and resell voice agents under their own brand through Studio Byrå or White-label

When not to use SARA

  • Organisations outside Sweden: the site, the support, the phone numbers and the structured data all point at the Swedish market alone
  • Teams whose bottleneck is web chat or email rather than the telephone, since SARA is a voice product first and last
  • Developers wanting documented self-service API access: no public API documentation exists, and full API access sits behind the quote-only White-label plan
  • Buyers who need a written compliance pack straight away, because the DPA, subprocessor list, security annex and incident procedure are declared still in preparation
  • Individuals and consumers: the offer is entirely business and public sector, starting at 499 SEK per month

How to use SARA

A typical end-to-end flow, from setup to results.

  1. Try the agent first by phoning 010-808 51 19 and talking to SARA as one of your own customers would, or book a demo through the contact page
  2. Choose your track: Studio if you want to build it yourself, För företag if you want it built and run for you, Offentlig Sektor if you are a public body
  3. Studio, step one: create an account on the Studio login page and start the seven-day free trial, with no lock-in
  4. Studio, step two: pick an industry template, enter your opening hours, prices and frequent questions, and choose a voice
  5. Studio, step three: connect your own number inside Studio; the agent answers from the moment you publish it
  6. Studio, step four: follow calls, cases and escalations in the dashboard, with one dashboard per client on the Byrå plan
  7. För företag, step one: a scoping session of roughly thirty minutes on how your calls actually work today
  8. För företag, step two: Optiflow AI builds and trains the agent against your real scenarios and connects it to your systems
  9. För företag, step three: go live within one to four weeks, then weekly optimisation
  10. Public sector: scoping, then a requirements specification covering rules, exceptions and escalations, then a limited pilot, then rollout with ongoing follow-up

Pros & Cons

Pros

  • All call data, transcripts and summaries are stored in Sweden and the EEA on Swedish hosting, with no transfer to third countries lacking adequate protection
  • Studio pricing is public and firm at 499 and 4,999 SEK per month, with no lock-in and no hidden fees
  • The demo is genuinely open: you phone the agent and talk to it, no form and no browser microphone, on top of a seven-day trial
  • Built for spoken Swedish and Swedish calling habits rather than translated from a foreign product
  • Automatic mid-call language switching covers Arabic, Somali, Tigrinya and Persian, which are hard to staff for in-house
  • The agent escalates to a person whenever it is unsure instead of guessing, and call recording can be turned off entirely
  • Retention is configurable at 30, 60 or 90 days or a period you set, with automatic deletion and export whenever you want it

Cons

  • The site exists only in Swedish: there is no English version at all, no hreflang tags, and the /en path returns a 404
  • The four data-protection documents — DPA, subprocessor list, security annex and incident procedure — are marked as still in preparation and cannot be released
  • The subprocessor list is not published anywhere on the site; it sits as an annex to the contract
  • ISO 27001 is stated as in progress rather than obtained, which matters for the procurement audiences the site targets
  • There is no public API documentation, and full API access is an attribute of the quote-only White-label plan
  • Two of the three tracks, För företag and Offentlig Sektor, carry no public price at all
  • Studio call-minute quotas are tight — 50 minutes a month on DIY, 100 per agent on Byrå — and there is no permanent free plan
Pricing

Pricing & Plans

There is no permanent free plan. SARA Studio comes with a seven-day free trial and no lock-in. The cheapest publicly priced paid entry point is SARA Studio DIY at 499 SEK per month, billed monthly; SARA Studio Byrå is 4,999 SEK per month, and White-label is quoted after a scoping conversation. The För företag and Offentlig Sektor tracks carry no public price and are quoted according to call volume, number of agents and integration complexity. One internal discrepancy should be noted: the machine-readable reference file and the comparison table on the homepage both state För företag from 1,995 SEK per month, whereas the pricing page gives only contact us for its three tiers. Amounts on the site use a space as the thousands separator, in the Swedish convention.

Data, GDPR & hosting

A consolidated view of how SARA handles your data.

GDPR overview

GDPR compliance is claimed explicitly and repeatedly. A data processing agreement is signed with every customer before go-live, and Optiflow AI says it will accept the customer's own contract template. All call data, transcripts and summaries are stored within the EU and EEA on Swedish hosting, with no transfer to third countries lacking an adequate level of protection. Traffic is protected with TLS 1.3, stored data is encrypted, and keys are held apart from the data. Callers are told about the processing at the start of the call. The site claims privacy by design, NIS2 readiness and an MSB-aligned architecture for public bodies; ISO 27001 is described as in progress, not obtained. The site also publishes its own caveat: the DPA, subprocessor list, security annex and incident procedure are still being drafted and cannot yet be released. No Article 27 representative and no DPO is named.

Who owns the data?

The terms split ownership cleanly. All rights to the SARA platform belong to Optiflow AI as supplier, and the customer receives only a non-exclusive right of use for the term of the contract. The call data runs the other way: it belongs to the customer. Optiflow AI states that it processes that data solely to deliver the service, never resells it either as data or as raw material, and shares nothing with third parties. Inside the service the customer is the data controller and Optiflow AI the processor, acting on the customer's instructions with no processing for its own purposes. Subprocessors are bound in writing by at least the same duties. For the marketing website itself, Optiflow AI is the controller.

Reuse rights

Customers can act on their own call data without asking permission. Export in a standard format is offered at any time, not only on termination. Retention is set by the customer at 30, 60 or 90 days or a period of their choosing, with automatic deletion once it expires, and call recording can be switched off entirely if the business requires it. On termination the data is exported in a standard format and then deleted from Optiflow AI's systems within 30 days, with written confirmation that the deletion has been carried out. Requests from data subjects for access, correction or erasure are executed on the customer's instruction. One duty runs the opposite way: under the terms it is the customer, not Optiflow AI, who must tell its own end customers that calls may be recorded. Nothing published grants the customer any reuse right over material belonging to Optiflow AI.

Data retention & training

Retention summary
Call data is kept for as long as the customer decides: 30, 60 or 90 days, or a period they set themselves, after which deletion happens automatically with no manual routine to forget. Recording can be switched off entirely, and every call is transcribed, summarised and logged with a timestamp and an outcome. Export in a standard format is available at any time, not only when leaving. On termination the data is exported and then deleted from Optiflow AI's systems within 30 days, with written confirmation that it has been done. Data-subject erasure requests are carried out on the customer's instruction. Contact-form data collected through the website itself is kept as long as needed for its purpose, typically up to 24 months after the last contact. No anonymisation or pseudonymisation step is described.

Hosting summary

All call data, transcripts and summaries are stored within the EEA, and the site consistently says Sweden and Swedish hosting. No transfer is made to a third country without an adequate level of protection, and the glossary cites Schrems II as the reason for choosing Swedish servers outright. Traffic is protected with TLS 1.3, stored data is encrypted, and the keys are managed separately from the data itself. Subprocessors also process within the EEA; if that were ever impossible, the site says the customer would be told beforehand. Access is role-based on the customer side, while access at Optiflow AI is limited to what operations and support require and every access to customer data is logged for later review. Operations are monitored continuously and, during an incident, calls are routed to the customer's own fallback. The architecture is described as MSB-aligned for public bodies. One clarification: the marketing site itself resolves to an anycast CDN node in the United States, which says nothing about where customer data lives.

Things to keep in mind

Risks and trade-offs to weigh before adopting SARA.

  • A voice agent hears everything a caller says, including sensitive details about health, money or personal circumstances that the caller never meant to give to software, and that they did not choose to speak to
  • The terms place the duty of telling end customers that calls may be recorded on the buyer rather than on Optiflow AI, so the compliance exposure moves to you
  • Signing before the DPA, subprocessor list, security annex and incident procedure exist means accepting a data-protection framework that has not yet been written down
  • The liability cap in the terms is very low: at most the fees for up to fifty calls, with indirect damage, lost profit and lost data excluded
  • Operational dependency is real — if the agent goes down calls fall through to a fallback you must have arranged in advance, and without one the line simply goes quiet
  • Recording, transcription and sentiment scoring on every call build a surveillance record of employees and callers alike, whatever the original intent behind switching it on
  • Escalation only fires on doubt the system actually detects, so a misunderstanding it does not notice is answered confidently and wrongly, and handing reception to software also erodes the direct feel a team has for why people call
Setup

Setup & Integrations

Technical difficulty

Low on both tracks, for different reasons. SARA Studio needs no technical skill at all: you pick a ready-made industry template, type in your business information, choose a voice and connect a number through a guided interface, and the agent can be live immediately. On För företag the effort is close to zero because Optiflow AI does the mapping, building, integration and running; the site says plainly that the customer does nothing. Connecting to an existing number and operator takes one to three working days. The real work on your side is supplying the material: opening hours, prices, frequent questions and escalation rules.

Fundraising

XO Foundation, linked to Dr Peter Wallenberg's foundation for entrepreneurship and business — support and capital awarded to Optiflow AI for the SARA voice agent. The publisher files it under Awards and Support rather than as a funding round, and its own statistics tile dates it to 2024, while the blog post covering the Dagens Industri report and the XO Foundation scholarship listing both point to 2025. Recipients shared a sum in the millions of Swedish kronor; no amount attributed to Optiflow AI, no round, no equity investor and no valuation is published.

FAQ

Frequently asked questions

What is SARA and who is behind it?
SARA is a Swedish AI voice agent, or AI receptionist, developed by Optiflow AI, an AI consultancy based in Norrköping. It answers the phone around the clock, books appointments, handles cases and speaks 15+ languages, and it always transfers the call to a person when it is unsure.
What does SARA cost?
SARA Studio DIY is 499 SEK per month and SARA Studio Byrå is 4,999 SEK per month. White-label, För företag and Offentlig Sektor are quoted individually according to call volume, number of agents and integration complexity. There is a seven-day free trial but no permanent free plan.
What is the difference between Studio and För företag?
Studio is a self-service platform where you build and manage the agents yourself with no code, which suits agencies and small businesses. För företag is fully managed: Optiflow AI maps, builds, integrates and runs everything for you, live within one to four weeks. Offentlig Sektor is a För företag variant for municipalities and authorities.
Which languages does SARA speak?
More than fifteen. The ones named on the site are Swedish, English, Arabic, Somali, Tigrinya, Persian, Polish and German, with a further seven unnamed. The language is detected automatically and SARA switches mid-call, so the caller does not have to do anything.
Where is the data stored, and is there a DPA?
All call data, transcripts and summaries are stored in Sweden and the EEA on Swedish hosting, with no transfer to third countries lacking adequate protection. A data processing agreement is signed with every customer before go-live. Note, however, that the site states the written DPA, subprocessor list, security annex and incident procedure are still being drafted and cannot yet be released.
How long are calls kept, and are they recorded?
Retention is configurable at 30, 60 or 90 days or a period you set, with automatic deletion at the end of it. Recording happens only if you choose it, the caller is informed at the start of the call, and it can be switched off entirely. On termination your data is exported and then deleted within 30 days, with written confirmation.
Do we have to change our phone number or operator?
No. SARA connects to your existing number and operator, and the site says an integration is active within one to three working days. Telia, Telavox, Tele2 and 46elks are named among the supported channels, and more than fifty integrations are advertised across CRM, calendar, booking, ticketing and accounting systems.
Is there an API or a mobile app?
An API is claimed but not documented publicly: the White-label plan lists full API access and the integrations page says bespoke API integrations are possible, yet no API documentation page exists on the site. There is no iOS or Android app; the product is a phone service with a web portal.
Conclusion

Should you pick SARA?

SARA is a tightly focused product, and the focus is its main strength and its main limit at once. Everything about it is built for Sweden: the language, the hosting, the numbers, the support, the procurement vocabulary. For a Swedish clinic, salon, property company or municipality, that is exactly what makes it credible — call data that never leaves the EEA, an architecture pitched at NIS2 and LOU, and a demo you can test simply by picking up the phone. For anyone outside Sweden, the same choices make it hard to evaluate: there is no English version of the site at all. The commercial proposition is refreshingly legible on the self-service side. Studio publishes firm prices, states its quotas, and offers a real seven-day trial with no lock-in. The two managed tracks are quote-only, which is normal for the segment, though the site is not consistent with itself: a figure of 1,995 SEK per month appears on the homepage and in the machine-readable reference file for a track the pricing page prices only on request. The reservations are worth stating plainly, because the site states them itself. ISO 27001 is in progress, not held. The subprocessor list is not published. And the DPA, security annex and incident procedure are declared as still being drafted and cannot be handed over — an unusual admission, and one any buyer should turn into a direct question before signing, especially given a liability cap set at the fees for fifty calls. This is also a young operation: the domain was registered in February 2026 and the Internet Archive holds no snapshot of it. Traction is claimed rather than audited. Evaluate it on a pilot, ask for the contract documents in writing, and check the fallback route for failed calls is in place.
