What is SenseTask?
SenseTask is a cloud intelligent document processing platform published by SourceTask Solutions SRL, a Romanian company based in Iași. It is positioned around AI agents that process, validate, understand and route business documents inside automated workflows, rather than around raw character recognition. The vendor states the difference plainly: unlike traditional OCR tools, the platform is meant to understand document context, the relationships between files, and business logic running across a single document or a whole collection.
The document types covered are broad: invoices and e-invoices, receipts, purchase orders, goods receipts, waybills and other transport papers, contracts, tax forms, identity documents, complete case files and customer-defined types. Documents arrive by email, through the REST API, by upload from a workstation, from electronic invoicing platforms or from ERP exports.
Five building blocks are claimed: intelligent classification; structured extraction of headers, line items, totals, references and cross-document relationships; multi-document validation; matching against ERP master data; and continuous learning that memorises associations such as suppliers, SKUs, cost centres and accounting codes. Two-way, three-way and N-way matching flags discrepancies in real time.
Work is organised in workspaces, workflow folders, capture labels (up to 25 on Starter), processing rules, and roles and permissions. Around the engine sits a document management layer: digital archiving, advanced search across content and metadata, filters on captured fields, duplicate detection, audit logs, approval history, encryption and configurable retention policies. Output leaves as structured exports to ERP, CRM or DMS systems through the API or export templates, or as CSV and Excel files.
The vendor publishes performance figures that are claims, not measured results: 89.2% of processing time saved on average, an average 3.1x return in the first year, validation twice as fast as sector peers, and, on its benefits page, up to 10x faster processing, 50% more productivity, 85% lower costs and 95% less paper. Three testimonials are signed with a first name and an initial only. This is a business tool, not a general-purpose assistant, and human review of what the AI returns remains the customer's responsibility. The service is in commercial operation, with no beta labelling.

GDPR overview
The site never states outright that it is GDPR compliant, but the implementation is documented. SourceTask Solutions SRL is established in Romania, inside the EU, and the privacy policy in force since 29 April 2026 sets out a dual role: controller for its own purposes, processor for customer documents. Legal bases are given purpose by purpose, and the full list of data subject rights appears, including erasure, portability, objection, withdrawal of consent and freedom from automated decisions. ANSPDCP is named as the Romanian supervisory authority. Transfers outside the EEA, the UK and Switzerland rely on standard contractual clauses, adequacy decisions and transfer impact assessments. A Data Processing Addendum forms part of the contract and prevails over the terms in case of conflict. No DPO is named, privacy@sourcetask.com being the single contact, and no Article 27 representative applies to an EU-established company.
Who owns the data?
The customer keeps all right, title and interest in the documents and data it uploads, and the publisher claims no ownership of them. What the customer grants is a limited, non-exclusive, worldwide, royalty-free licence, exercisable only to deliver the service: processing, extraction, validation, support, security, legal compliance and enforcement of the agreement. No marketing use, public display or sale of customer data is permitted without the customer's written consent. The customer stays responsible for the accuracy and lawfulness of what it uploads, for holding the necessary rights, and for its own backups and access settings. Feedback is the one exception: suggestions sent to the vendor carry a perpetual, irrevocable licence.
Reuse rights
Extracted data is the customer's own, and it can be exported and reused without asking the publisher for permission, through CSV and Excel files, per-folder export templates, SharePoint, ERP connectors or the REST API. On the publisher's side the permitted uses are bounded: customer documents serve to configure, operate, support, secure and improve the service for that customer, covering extraction models, validation rules and workflows. Usage data such as logs, metrics, API calls and security events is collected separately, and aggregated or de-identified data may be used for analytics, security, benchmarking and reporting. Training general-purpose AI models, or models serving other customers, is excluded unless the customer expressly agrees in writing, and no fully automated decision producing significant legal effects is taken. The privacy policy in force since 29 April 2026 names a legal basis for each purpose (contract, legitimate interest, legal obligation, consent) and discloses sharing with sub-processors, the customer's own account administrators, connected third-party systems, authorities and, in a change of control, an acquirer. Non-essential cookies, including Google Analytics, require consent.

Hosting summary
The site names no hosting country, no region and no cloud provider. The privacy policy in force since 29 April 2026 says only that the publisher is based in Romania and operates mainly within the European Union and the European Economic Area, which describes where the company operates rather than where customer documents are stored. It adds that data may be processed outside the user's own country depending on the services used, the customer's configuration, the sub-processors involved, connected integrations and support needs. For transfers outside the EEA, the United Kingdom and Switzerland, the publisher relies on standard contractual clauses, adequacy decisions, data processing agreements and transfer impact assessments, backed by technical and organisational measures. The security measures listed are encryption in transit, access and authentication controls, role-based permissions, logging and monitoring, backup and restore, vulnerability management, infrastructure security, internal policies, staff confidentiality and vendor security reviews, with the explicit reservation that no system is entirely secure and no absolute guarantee is given. No SOC 2 or ISO 27001 certification is claimed and there is no trust or security page.

Should you pick SenseTask?
SenseTask is a niche B2B tool, not a general-purpose assistant. Its strength is the complete chain it covers, from capture and extraction through validation and approval to export, with named ERP connectors at the end of it, down to systems broader platforms ignore, and a documented RO e-Factura integration for the Romanian market. For an accounts payable or logistics team buried in supplier invoices, waybills and purchase orders, that end-to-end coverage is the argument, and the public API documentation and detailed user guide make it verifiable before signing.
The weak point is transparency. The publisher gives a city and a country but no street address, claims no security certification, publishes no sub-processor list and names no hosting country, region or cloud provider, even though its privacy policy of 29 April 2026 is otherwise detailed, sets out legal bases purpose by purpose and builds a Data Processing Addendum into the contract.
