Overview

What is Serif?

Serif is an AI email assistant that presents itself as an employee rather than another writing tool. Its homepage argument is blunt: you do not need another email tool, you need email off your plate. It connects in one click to Gmail and Google Workspace, or to Outlook and Microsoft 365, through their official APIs, and it can also be given a mailbox of its own such as support@yourcompany.com. Nothing about the existing email setup has to change.

Once connected, Serif reads what the account has already sent and picks up tone, phrasing and register per correspondent. The site describes three stages: the mailbox is connected right away, drafts start appearing within roughly ten minutes, and autopilot is enabled later, scenario by scenario, once the user trusts the output. Control stays granular — shipping questions and order status on autopilot, refunds above 500 dollars kept back for review.

The product is organised around inboxes rather than features. Serif covers info@ for triage and lead qualification, support@ for answers and escalation, billing@ for invoice chasing, reception@ for bookings, accounting@ for supplier invoices, quotes@ for pricing requests, closing@ for deal paperwork and partnerships@ for inbound deal flow, alongside a personal mailbox. Beyond replying, it claims end-to-end work: reading contracts and building a document checklist, chasing what is missing, running an intake playbook on every new lead, looking up an order or a property in the customer's own systems, and acting in connected tools.

Usage claimed on the homepage runs to 611,000 emails sent monthly, 11 million processed and 150,000 hours saved. The about page adds 36 countries and a team of seven engineers, founded by Kevin Yang and James Liu, who met at Stanford and sold an earlier web-automation startup in 2022.

Serif runs in the browser inside the mailbox and as a desktop application for macOS, on both Apple silicon and Intel, and for Windows. Security is a visible pillar: SOC 2 Type 2, GDPR and HIPAA compliance, Google Verified and CASA Tier 2 accreditation, encryption at rest and a public Vanta trust centre.

What it does

  • Drafts replies to incoming email in the account holder's own writing style
  • Sends replies on its own, but only for the scenarios the user has switched to autopilot
  • Triages, labels and prioritises a personal or a shared inbox
  • Chases unpaid invoices and handles the payment questions that come back
  • Collects documents against a checklist and reminds each party until the file is complete
  • Builds and sends quotes priced from the company's own rates
  • Takes real action in connected tools, such as issuing a Stripe refund within set criteria

When to use Serif / When not to

A quick filter to help you decide if Serif is the right fit.

When to use Serif

  • Small teams drowning in a shared inbox such as info@, support@ or billing@, who pay per seat for tools that organise mail without ever answering it
  • Owner-operators and solo professionals with no assistant, answering the same customer questions every single day
  • Law firms, accounting practices and business brokers whose email is really a document-chasing and follow-up workflow
  • Property managers, estate agents and hospitality teams handling repetitive enquiries tied to a record in an internal system
  • Non-technical buyers who want Gmail or Outlook left untouched: setup is guided, with nothing to build and nothing to configure

When not to use Serif

  • Developers who need a public API: Serif publishes no API documentation and no developer portal
  • Organisations bound to European data residency, since hosting is declared in the United States only
  • Procurement and privacy teams that require a signed processing agreement and a named subprocessor list before onboarding
  • Android users, and anyone counting on a mobile app: Android is announced as coming soon and the iOS download button carries no link
  • Buyers looking for a genuinely free product: the published price grid starts at 30 USD per month, backed only by a seven-day trial
Get started

How to use Serif

A typical end-to-end flow, from setup to results.

  1. Sign in with Google or Microsoft and grant Serif access to the mailbox in a single click
  2. Let Serif read the sent history so it can learn tone, phrasing and register
  3. Watch it organise the inbox and start pre-drafting replies within minutes
  4. Review each draft, edit what is off and approve what is right; Serif learns from every correction
  5. Answer Serif's question when a case is new, and it handles that case itself from then on
  6. Switch autopilot on scenario by scenario, keeping the sensitive cases in review
  7. Optionally give Serif a mailbox of its own, such as info@ or support@yourcompany.com
  8. Connect the calendar and Zoom from the help centre to extend scheduling coverage
  9. Install the desktop application for macOS or Windows to get meeting briefs and follow-ups
  10. Ask the Serif team to train the assistant for you if you would rather skip the setup

Pros & Cons

Pros

  • Works inside Gmail and Outlook, so there is nothing to migrate and no new interface to learn
  • Autonomy is earned in stages and stays under explicit, per-scenario control
  • Covers the work that comes after the reply: documents, follow-ups, quotes and actions in connected tools
  • Priced per mailbox rather than per seat, unlike the shared-inbox tools it compares itself against
  • Unusually solid compliance base for a seven-person publisher, with a public trust centre to back it
  • Explicit commitment that emails are never sold and never used to train generalised models
  • Seven-day trial on every plan, free to start without a card, and assisted onboarding on request

Cons

  • No public API and no developer documentation anywhere on the site
  • The 3,000-plus integrations advertised on the homepage are never listed
  • No free plan appears on the price grid, although the site invites you to get started for free
  • Mobile is incomplete: Android is coming soon and the iOS download button carries no link
  • Terms and privacy notice have not moved since February 2024 and are served in an iframe by a third party
  • No processing agreement, no named subprocessors and no Article 27 representative, despite the GDPR claim
  • Hosting is declared in the United States only, with no European data residency option

Trust & Privacy

Data, GDPR & hosting

A consolidated view of how Serif handles your data.

GDPR overview

Serif claims compliance in plain words: the footer of every page reads SOC 2 Type 2, GDPR and HIPAA compliant. The privacy notice grants users in the EEA, the United Kingdom, Switzerland and Canada rights of access, rectification, erasure, restriction, portability and objection, freedom from automated decision-making, the right to complain to a national authority or the UK regulator, and the right to withdraw consent at any time. Privacy requests go to support@serif.ai. The paperwork behind the claim is thinner: no Article 27 EU representative is designated, no data protection officer is named, no data processing agreement is published, and third parties are described by category rather than by name. Hosting is declared in the United States and continued use counts as consent to that transfer. A Vanta trust centre is linked from the security page.

Who owns the data?

Serif.ai inc. publishes its terms and privacy notice through Termly, both last updated on 1 February 2024. The security page states plainly that your emails, data and assistant are yours alone, that Serif has never sold customer data and never will, and that emails are not stored on its servers. Access is scoped to the account holder, so not even teammates can read another user's assistant. The terms nonetheless take an unrestricted, perpetual and worldwide licence over any Contributions a user posts to the service, which places published material on a different footing from mailbox content. Account deletion is documented in the help centre.

Reuse rights

The terms grant the end user no reuse rights over Serif's own content or marks: reproducing or publicly displaying any part of them outside normal use requires written permission, requested at support@serif.ai. The flow is far more generous in the other direction. Anything posted as a Contribution is licensed to Serif on an unrestricted, irrevocable, perpetual, worldwide and royalty-free basis, including the right to copy, translate, sublicense and exploit it commercially. Mailbox content is governed separately: section 15 of the privacy notice states that user data, including Google user data, serves only the user's own assistant and is never used in a generalised or non-personalised way. The Enterprise tier is the exception that proves the rule, offering custom models trained on the customer's own organisation.

Data retention & training

Retention summary
Serif keeps personal information only as long as the purposes set out in its privacy notice require, unless a longer period is required or permitted by law. The stated outer limit is the life of the account: no purpose is said to require keeping personal information beyond the period during which a user has an account. When there is no ongoing legitimate business need, the data is deleted or anonymised; where that is impossible, for instance in backup archives, it is stored securely and isolated from further processing until deletion becomes possible. Closing an account triggers deactivation or deletion from the active databases, with a residual right to keep records for fraud prevention, investigations and legal obligations. The security page adds that emails are never stored on Serif's servers. No retention period is expressed in days or months.

Hosting summary

The terms state plainly that the services are hosted in the United States, and that reaching them from another region means transferring data there. No European data residency option is offered and no other hosting country is named. The privacy notice describes its providers by category, data storage providers and website hosting providers, without naming any of them, so the infrastructure operator is not disclosed. The domain resolves to 216.150.16.1, a United States address on Amazon's AS16509, although that record is an anycast CDN node and says nothing about where mailbox data itself sits. The security page adds two claims that matter more than the jurisdiction: emails are never stored on Serif's servers, and everything the assistant learns is encrypted at rest. Enterprise customers can negotiate custom retention policies. For a European buyer, the practical position is that data leaves the European Economic Area by design, with consent obtained through continued use rather than a documented transfer mechanism.

Things to keep in mind

Risks and trade-offs to weigh before adopting Serif.

  • Serif needs access to the whole mailbox through the Google Workspace or Microsoft 365 APIs, which is a broad permission to grant to a seven-person company
  • Once autopilot is on, emails reach real customers with no human reading them; the scope is set per scenario and deserves a regular review
  • Delegating replies erodes the habit of writing them, and staff who stop drafting lose the feel for difficult conversations and for spotting an unusual request
  • An assistant trained on past emails reproduces past tone and past mistakes, including habits a business may have outgrown
  • The privacy notice and terms date from February 2024 and are hosted by a third party, so they may no longer describe how the product actually works
  • Google Analytics advertising features, including remarketing and Display Network reporting, run on the site itself
  • Prices can change at any time under the terms, and the support address sits on a neighbouring domain rather than serif.ai, which makes a phishing attempt harder to spot
Setup

Setup & Integrations

Technical difficulty

Very low. Setup is a Google or Microsoft sign-in followed by an access grant, which the site claims takes under a minute. There is nothing to build, no workflow to configure and nothing to install for the browser experience, and the assistant starts from a pretrained profile for the user's industry that is then corrected in plain language. Serif's team will do the training for customers who would rather not. Only the optional desktop applications for macOS and Windows need a separate install.

FAQ

Frequently asked questions

Which mailboxes does Serif work with?
Gmail and Google Workspace, or Outlook and Microsoft 365, through their official APIs. Serif can also be given a mailbox of its own, such as support@yourcompany.com, and nothing about the existing email setup has to change.
Will the replies actually sound like me?
Serif learns from the emails already sent from the account, picking up tone, phrasing and the way the user writes to different people. True Voice, the more advanced version of that behaviour, comes with the Standard plan and above.
Can Serif send email without me?
Only once autopilot is switched on, and only for the scenarios where it is switched on. Everything else starts as a draft to approve. A mailbox handed over to Serif outright runs on its own and escalates anything unusual.
What happens when Serif does not know the answer?
It asks. Serif brings the new case back to the user rather than guessing with a customer; once the answer is given, it handles that case itself from then on.
How long does setup take?
The site claims under a minute: sign in with Google or Microsoft, grant access, and Serif starts organising the inbox. There is nothing to build, no workflow to configure and nothing to install for the browser experience.
Are my emails used to train AI models?
Section 15 of the privacy notice states that Serif does not train generalised AI models with any user data, and that Google Workspace APIs are not used for that purpose. The Enterprise plan does offer custom models trained on the customer's own organisation.
What does Serif cost?
Paid plans start at 30 USD per month for Lite, or 27 USD per month on an annual commitment. Standard is 50 USD, Pro 200 USD and Team 50 USD per user per month; Enterprise is quoted on request. Every plan carries a seven-day trial.
Is there a mobile app?
The download page offers desktop applications for macOS, on Apple silicon and Intel, and for Windows. A mobile section presents iOS, but the download button carries no link, and Android is announced as coming soon.
Where is the data hosted and how long is it kept?
The terms state that the services are hosted in the United States. The privacy notice keeps personal information no longer than the period during which a user holds an account, then deletes or anonymises it. No duration in days or months is published.
Is there a minimum age?
Yes. Both the terms and the privacy notice set the minimum age at 18, and Serif states it does not knowingly collect data from or market to anyone younger.
Conclusion

Should you pick Serif?

Serif is unusually focused for an AI assistant: it does one job, the operational mailbox, personal or shared, and it does it end to end. The argument against shared-inbox tools such as Front, Hiver and Missive is coherent and easy to test, since those products organise email so that people can answer it, while Serif answers it and charges per mailbox rather than per seat.

Execution matches the promise on the parts that can be checked. Onboarding is a Google or Microsoft sign-in, autonomy is granted scenario by scenario instead of all at once, and the work that usually follows a reply, from chasing documents to sending quotes and issuing a refund, is part of the product rather than a roadmap item. The compliance base is unusual for a seven-person publisher: SOC 2 Type 2, HIPAA, Google Verified, CASA Tier 2 and a public trust centre.

The grey areas are real and worth weighing. There is no public API, so Serif cannot be embedded in another product. The 3,000-plus integrations advertised on the homepage are never listed. The legal documents have not moved since February 2024 and are served in an iframe by a third party, and the paperwork behind the GDPR claim is thin: no processing agreement, no named subprocessors, no Article 27 representative, and hosting in the United States alone. Mobile is announced rather than shipped, and the free plan the site invites you to start on never appears on the price grid.

The natural fit is a small or mid-sized business whose inbox is repetitive, whose replies depend on internal records, and whose data can sit in the United States. Buyers with European residency requirements or a procurement checklist should ask for the missing documents first.
